The Role

The primary purpose of this job is to ensure payroll is processed correctly and efficiently for all employees. For this, the individual contract agreements, the collective labor agreements, the Belgian labor law and the sector specific agreements need to be considered. Secondly, the timely and accurate generation of weekly, monthly and annual KPI reporting through the payroll system to the Management Team.

Responsibilities

a) Ensure fixed payroll data is accurately and timely transferred from the time registration system to the payment system for all employees working in conjunction with the HR Leaders on each plant.
b) Initiate the monthly pay cycles and resolve pay generation issues
c) Ensure accuracy of all payroll entries and transactions for all employees.
d) Proactively recommend and implement appropriate changes by removing unnecessary roadblocks and resolving system obstacles.
e) Define, administer, modify and enforce the payroll processing schedules and calendars.
f) Administer and control the adjustment pay and termination pay process.
g) Works with HR team to address specific concerns and meet the needs of individual clients, employees and departments.
h) Maintains an up to date knowledge and awareness of payroll laws and both country and sector level.
i) Ensure that deadlines are met for employees to be paid accurately and on time in accordance with local and contractual legislation.
j) Assist with the administration of all employee benefits.
k) Act as HR expert for all employee queries related to payroll.
l) Liaise with Finance to complete monthly payroll reconciliation.
m) Develops and maintain an accurate and timely method of reporting payroll data to the accounting department as required.
n) Responsible for updating, correcting and maintaining employee payroll agreements in the system.
o) Liaise with payroll provider.
p) Manage the system to generate payroll KPI reports, determine if accurate processing was accomplished and correct any errors.
q) Perform Ad Hoc reporting of payroll data.
r) Remit payments to tax and social insurance authorities and benefits providers; complete and submit any required regulatory forms.
s) Generation of all reporting requirement of the company related to all types of employees.

Requirements
  • University or Technical studies in Management, Finance or similar (Graduated required)

  • Minimum 3 years of experience in payroll and with compensation and benefits.

  • Knowledge of accounting is a plus.

  • Knowledge of local law and Belgian payroll legislation.

  • Planning, accuracy and customer focus skills.

  • A good knowledge of Excel is required.

  • Experience working with SD Worx and Protime.

  • Experience in an international HR Services/Payroll environment.

  • Good team working as well as the ability to work autonomously.

  • Expertise in all areas of Belgium payroll.

  • High level of attention to detail and accuracy.
